Your website domain and your email platform are closely connected. These FAQs explain the difference between consumer Gmail, Google Workspace and Microsoft 365, and what a professional setup should include.

What is the best email system for a small business?

For most established UK businesses, the shortlist is usually Microsoft 365 or Google Workspace. Microsoft 365 is often the better fit if your team relies on Outlook, Teams, Word, Excel, Windows and Microsoft identity tools. Google Workspace is a strong choice if staff prefer Gmail, Google Drive, Docs, Meet and browser-first collaboration. The best system is the one that fits how your staff actually work, can be administered properly and supports your security requirements.

Is Gmail good enough for a business?

Gmail itself is an excellent mail interface, but a business should normally use Google Workspace with its own domain rather than free consumer addresses such as [email protected]. A custom address such as [email protected] looks more professional, is easier to manage when staff join or leave and keeps the organisation in control of the business identity.

Is Microsoft 365 better than Google Workspace?

Neither is universally better. Microsoft 365 tends to be stronger for businesses already using Outlook, Teams, Office desktop applications, SharePoint, OneDrive and Windows management. Google Workspace is often attractive to organisations that want Gmail, Drive, Docs, Sheets and Meet with a simpler browser-led experience. Migration history, compliance, security, file formats, shared mailboxes and staff familiarity should all influence the decision.

Can I use my own domain name with Microsoft 365 or Google Workspace?

Yes. Both services are designed to use a business-owned domain so staff can send from addresses such as [email protected]. The domain has to be verified and its DNS records configured correctly so incoming mail goes to the selected platform. Keep the domain registered in an account controlled by the business rather than by an individual employee or web designer.

Should my website hosting company also host my email?

Usually we prefer to separate critical business email from low-cost website hosting. A website can be moved, rebuilt or temporarily taken offline without disrupting staff email if the mail service is independently hosted on a platform such as Microsoft 365 or Google Workspace. Separating the services also makes migrations and incident recovery easier.

What email addresses should a business set up?

Give each person their own named account and then use appropriate shared addresses or groups for functions such as sales@, accounts@, support@ and hello@. Avoid sharing one person's password between several staff. Shared mailboxes, groups and aliases let the business keep ownership of customer conversations without weakening accountability.

Do I need SPF, DKIM and DMARC for business email?

Yes, they should be part of a professional email setup. SPF identifies permitted sending systems, DKIM adds a cryptographic signature to messages and DMARC tells receiving systems how to handle mail that fails authentication while providing reporting. They reduce the risk of domain spoofing and improve the quality of your sending configuration, but they must be implemented carefully so legitimate systems such as CRM, invoicing and marketing platforms are included correctly.

Should staff use personal Gmail accounts for company work?

As a rule, company information should stay in company-managed accounts. Personal email makes access control, leaver procedures, retention, auditing and data protection much harder. A managed Microsoft 365 or Google Workspace account lets the organisation control access and recover business data when a member of staff changes role or leaves.

Can I move from Google Workspace to Microsoft 365, or the other way around?

Yes. Mailboxes, calendars, contacts and files can be migrated, but the project should be planned rather than treated as a DNS switch. Check mailbox sizes, shared resources, aliases, forwarding, mobile devices, archive requirements and applications that send email. The final MX-record change should be coordinated so users and systems are ready before mail starts arriving at the new service.

How should I secure Microsoft 365 or Google Workspace email?

Start with multi-factor authentication, strong admin controls, separate administrator accounts, sensible recovery methods and good joiner/leaver processes. Review forwarding rules, third-party app permissions and suspicious sign-ins. Email remains one of the main routes into a business, so configuration and user training matter as much as the mailbox product itself.

Do Microsoft 365 and Google Workspace back up my email?

Both platforms provide highly resilient cloud services and retention/recovery capabilities, but that is not the same thing as an independent backup designed around your organisation's recovery requirements. If the business needs longer retention, protection from accidental deletion, malicious deletion or additional recovery options, consider a separate Microsoft 365 or Google Workspace backup service.

Should my website enquiry forms send from my Microsoft 365 or Google Workspace mailbox?

The website should use a properly authenticated sending method rather than pretending to send directly from a visitor's address. Configure transactional mail so the website sends from a domain you control, uses the correct SPF/DKIM arrangement and sets the customer's address as a reply-to where appropriate. This improves deliverability and makes form mail easier to trace.

Who should support Microsoft 365 or Google Workspace after the website launches?

For a business with multiple users, ongoing email and identity administration should normally sit with an IT provider or internal IT team rather than the web designer. Mailbox permissions, MFA, licences, devices, security policies and account recovery are operational IT responsibilities.
